Privacy policy
{Updated July 2024}
Summary
This policy explains how I collect and handle any information you give me under the EU’s General Data Protection Regulations (GDPR) as well as the UK’s GDPR post-Brexit. I’ve kept it as simple as possible.
I understand how much you value your privacy. I value mine too. I will only ever ask for the bare minimum of information and I promise to keep what you share with me safe. I will never use your personal information for any reason other than the one for which you gave it to me. And I’ll never give anyone access to it unless required to by law.
How do I collect your information?
I ask for your contact information using a form on my website so that I can reply to your enquiry.
There are minimal tracking cookies on this site. I keep an eye on my website’s performance in the search engines using Google tools.
My newsletter sign-up asks for your name and email address, nothing more. These are stored by my service provider: Mailerlite. I do not track opens or clicks on my newsletter out of respect for your privacy. I do not receive notifications of unsubscribes.
Any other information will be gathered over email (Google Mail), discovery questionnaire (Google Forms) and in our calls (Google Meet).
What information do I ask for?
When you contact me through the form on my website, I collect your name and email address and some general information about your business.
If we work together:
I collect your name, email address, phone number, and address.
I ask you to complete a briefing questionnaire.
I keep copies of any contract(s) and non-disclosure agreements (NDAs).
I keep records of the invoices I send you and the payments you make. I never have access to your bank details.
I keep copies of briefing documents and any work I create on your behalf. Sensitive documents will be deleted upon request.
Unless it remains relevant to ongoing work, I will delete information you send me after one year of our project finishing.
Where do I store your information?
When you contact me by email or through my website, I store your information in Google Mail and Google Docs.
If you do business with me, I store your information in Google Docs and Google Forms.
Newsletter sign ups are stored in Mailerlite.
I do not have access to your bank details. These remain with the third-party payment provider (Stripe).
What do I use your information for?
Your information is used to facilitate our work together, from project enquiry through to invoicing and project completion. I may occasionally send a personal email to tell you about new services or offers. To be excluded from these emails just let me know.
Who is responsible for your information?
That would be me - Sally Fox. (Nice and simple!) You can email me sally@lumenandfoxwords.com with enquiries, concerns or requests at any time.
Who has access to your information?
Only me.
How I keep your information private
When I store your information using third-party services, I am the only person with access to that service.
I store all passwords securely. The devices I use are protected by a password. These devices ask for authentication whenever they’re started or after five minutes of inactivity.
I operate a paperless business. Your information will never end up on paper.
How to complain
I take complaints very seriously. If you’d like to complain about my handling of your data or privacy, please contact me by email at sally@lumenandfoxwords.com. If you’d rather write, you’ll find me at 4 Cordwents View, Halberton, Devon. EX16 7FF.
